Send emails later: Add more options on the scheduled time.

    Hello, how are you doing?

    I would like some help with a few topics I'd like to implement in some of my forms. There are 03 aspects:

    01 - Would it be possible to transform a form into a PDF file once filled, and send by email to the person that puts its email in a field of the form? As well as to the email of another person that controls a company?


    02 - Would it be possible to create some notifications once a form is field? For example, let's say person A fills the form putting the date that something happen. From that, counting 15 days from the day he put in the date field of the form, Person A will receive a notification that he has to fill another form again, the same way the person responsible for the form, person B, will also receive this notification. Would it be possible? If so, how could I do that?


    03 - Would it be possible to generate a number for each form we filled? For example, if I am filling a form of Patient A, he receives a number 01, every time I filled another form that I sinalize that I am talking about Patient A, the information already given would appear automatically. Would it be possible?

    Hello,

    1. When a user fills out your form, you can use the PDF editor to make a PDF that can be attached to email notifications and autoresponders so the PDF with all the submission data will be sent to the person filling out the form and whoever you want to notify when the form is filled out. https://www.jotform.com/help/503-how-to-include-submissions-as-pdf-attachment-in-the-email-notifications
    2. You can definitely send out notification emails once the form is filled out. You can also set auto responders to have a delay of days later as well. https://www.jotform.com/help/30-explanation-of-email-notification-and-autoresponder-settings
    3. The only way to get that information would be to setup prefill where you can manually enter in the data, use old table data and other ways to create a link for that user with some data filled in already. https://www.jotform.com/help/1805-what-is-jotform-prefill-and-how-does-it-work/

    Hi, Thanks for your answer.


    I am trying to develop a form bases on item 1 that I asked and followed the step by step you send me, but I still can't put into work this part "PDF with all the submission data will be sent to the person filling out the form".

    I don't understand what else I have to do, for the person who is filling out the form (which I don't know, once is going to be done for patients in appointments) receive the email as well the same way the person who is set on the settings button receives.

    Hello,

    If the PDF attachment is not coming through make sure you have the document you want sent also selected when choosing add PDF attachment.

    For getting emails to the user filling out your form you're going to want to setup an autoresponder. You will want to set the recipient of the autoresponder email to the form field you have setup for the users email. On submit this will fill in the email for whatever they put.

    Can I select an option more than 30 days after filling the form or If I select a date that is 45 days in advanced after filling the form all the forms are going to send the notification after 45 days (or always in the same date as 09/27/2020, for example)? Because I had the interest to receive a notification after 45 days not with an specific date.

    Hello,

    Currently the maximum that you can set is 30 days out or a specific date. We can make a feature request for you to make it 45 days or have additional options if you would like.

    Sure, I would like it.

    Could you please request for a 15 days (I know it has the 14 days, but for my customer, it should be specifically 15 days) 45 days, 1 year, 2 year options?

    • Right Away: Choose this option to send your autoresponder email immediately after form submission.
    • Delay by Hours: You can now delay your autoresponder email by a specific number of hours. (Example: Set a 3-hour delay to send a follow-up email a few hours after form submission.)
    • Delay by Days: You can delay your autoresponder email by a specific number of days. The email will be sent at the exact submission time (based on your timezone) after the selected number of days. (Example: Set a 10-day delay to send a reminder exactly 10 days after submission.)
    • At a Specific Date and Time: Prefer to schedule your email for an exact future moment? Use the “Exactly At” option to choose a specific date and select a precise time using a dropdown menu with 30-minute intervals (e.g., 10:00, 10:30, 11:00).

    🚀 How to Set It Up:
    1. In the Form Builder, go to the Settings tab.
    2. Click Emails from the left panel.
    3. Hover over your Autoresponder Email and click the Pencil icon to edit.
    4. Go to the Advanced tab.
    5. Scroll down to Send Email Later and toggle it ON.
    6. Choose your preferred timing method:
    • Right Away
    • Delay for: Enter a number of hours or days.
    • Exactly At: Select a specific date and time in 30-minute intervals.
    • Alternatively, use Get value from to schedule based on a form date field.
