Hello Franz,
Regardless of which plan you have, all of your forms are served across a protected 256-bit Secure Socket Layer (SSL) connection that uses a SHA256 Certificate. It's industry-standard protection. For encrypted forms, submissions are encrypted with high-grade RSA 2048 on our user's computers, and then transferred and stored securely on our servers.
Jotform’s data servers are co-located in a cloud-based architecture with Google Cloud and Amazon Web Services (AWS). Google Cloud data centers are hosted in Iowa (USA). AWS data centers are located in Frankfurt, Germany (EU), and Virginia (USA). Hosting Jotform on these major cloud platforms also provides us with some extra benefits using security-best practices in areas like hardware lifecycle management, physical security, and network infrastructure. Our servers are regularly updated and patched.
If you’re a Jotform Enterprise user, you can choose the physical location of your dedicated cloud server and host your data in any part of the world. This is especially important for complying with data privacy rules and location requirements in places such as Australia, Canada, the UK, and EU. Only users and admins within your Enterprise account will be able to access your data server.
You can also enable Form encryption to your form. When your form is encrypted, automatic email notifications that are sent to the form users are disabled and only you, the form owner who has the Access Code can check the submissions on your form. Let me show you how:
1. In Form Builder, in the orange navigation bar at the top of the page, click on Settings.
2. Under the Form Settings tab that opens, toggle the Encrypt Form Data option to the YES position.
3. On the window that opens, enter your account password.
4. Then, click on Verify to verify that it's you.
5. Now, Enter an access code for your data, you can input up to 16 characters.
6. Check the confirmation box right under the Set Access Code field.
7. Then, click on Enable Encryption. That's it.
Keep in mind that some features in the Form Builder will become unavailable once you enable it in the form. Here is the list:
- Autoresponder Email
- Customizable Notification Emails — You will still receive a notification email when you receive a new submission.
- Save and Continue Later
- Change Email Recipient Condition
- Integrations (Except for Payment Gateways)
- Approval Flows
- Jotform Sign
- PDF Downloads — You can still view the data in the PDF Editor but can only Print it.
- Form Reports — Excel, Grid Listing, HTML Table, RSS, and Calendar.
- Digest Emails — You can only receive the new submission count in the latest period of the digest.
- Filters — When viewing data through the Tables and Inbox, the filter feature is disabled.
Also, encrypted forms use end-to-end encryption, which means your access code is encrypted on Jotform’s end. Since it’s encrypted, we won’t be able to access your data, so if you forget your access code, your data is considered lost. We recommend storing your access code in a safe place or creating an access code that’s easy to remember.
