Modifying submissions to resend to participants to correct.

    Hello-

    I have data submission forms from 2 reviewers each for my articles. I need to be able to transfer their answers that do not need to be addressed into a new form, then highlight the ones they disagreed on, and let them fix those in a new form, but I don't want them to have to refill all the other correct answers....

    It is conflict resolution between their two form submissions and I want to give them one form to complete with both of their names, but not make them have to redo all the answers that agreed upon. Is there a way to somehow get their submission data from previously into a new form, and have them just have to fill out the ones they disagreed on??

    Hi Krista,

    Thanks for reaching out to Jotform Support. Unfortunately, the feature you're looking for isn't available at Jotform right now. You need to examine the submissions from the Tables and manually detect the differences.

    I understand I have to manually check the answers. I just would like to be able to import their answers into a fresh form and I can highlight the ones they need to answer again. So they don’t have to fill out the whole thing again, that doesn’t seem crazy…and then resubmit their surveys.

    Hi Krista,

    Thanks for your patience. You can resolve the conflict by using the Jotform Prefill feature to pull in data from both reviewers' previous submissions into a new form. Here's how to do it:

    1. In Form Builder, in the orange navigation bar at the top of the page, click on Publish.
    2. Now, click on Prefill in the menu on the left side of the page, and then select Form Prefill.
    3. Click on the Downward Arrow icon and select the form that you want to prefill from, and then match the fields.
    4. Finally, click on Save Settings on the bottom-right side of the Form Prefill section.

    1. Click on Add a New Prefill and select a row or the rows you want to be prefilled.
    2. Then, click on the Create button in the right corner of the page.

    1. In the Form Prefill settings, click on Can Edit next to the prefill link.
    2. In the dropdown menu that opens, select Read only, and that's it.

    You can also use one of your form tables or import your existing data into Tables and use it. Here's how to dot it:

    1. In Form Builder, go to Publish at the top.

    2. Go to Prefill on the left.

    3. Select Tables Prefill.

    4. Choose your source table and tab.

    5. Map your table’s columns to your form fields, then select Save Settings.

    6. On the next page, select Add a New Prefill.

    7. Choose the entries to prefill your form, then select Create in the upper-right corner.

    I don't need to resolve the conflict, I need to provide the two people with their previous submissions with the "CONFLICTING QUESTIONS" highlighted for them both, and allow them to discuss amongst themselves, then be able to resubmit their forms...


    OR

    I want to make a NEW form, and already prepopulate it with the answers they have from their previous submissions where they agreed, and then highlight the ones they need to do again, so this way they don't have to complete the entire form AGAIN, EXCEPT for the ones THEY disagreed on....


    I can use your suggestion to quickly find the conflicts, and perhaps send them, but it doesn't solve the issue of create a new form they submit together or edit their submissions to agreed answers.

    Hi Krista,

    Unfortunately, it is not possible to highlight the conflicting questions. The suggestion provided by my colleague Aries is a good workaround to create a prefilled form with their previous submission. You can just leave the conflicting questions as blank on the prefilled form so that your form users will be aware of which questions they need to discuss with.

    I will try this, thank you so much. I want to send a new form called "conflict resolution" to both reviewers so that is the one they turn in so it has their agreed answers, for that paper they reviewed, this will then fit in with my google data, and all my other data so much easier. Instead of going through the excel sheets I download and highlighting the columns and making them go through it and not even remember what the question options were etc. I think this would be a much more effective method in the end, what I am trying to do, if that makes sense.

    It is just so many questions, may be I should just import the data from their downloaded excel sheet, and then go through and remove the answers that were conflicting and manually highlight them so they know which ones they have to do???

    Hi Krista,

    Yes, you can download the submission in CSV and then manually you can compare the data. Once comparison is completed, you can import that Excel file back to the Submission table, and then you can follow the steps shared by my colleague Aries. It's easy to import a file into Jotform Tables. Let me show you how:

    1. Go to your My Tables page, and click on Create Table on the top-left side of the page.

    2. In the window that opens up, click on Import Data.

    3. Click on Upload File and select your file or simply drag and drop your file.

    4. Click on the Downward Arrow icon in the Choose Tabs To Import section, and toggle On the Set The First Row As Column Headers option.

    5. Click on the Short Text option to change your column types.

    6. Untick the tabs you don't want to import, and then click on Import Data.

    I need to import the data into a FORM. Not a table. And is it CSV or excel? My stuff is in excel, and I thought you could import data from excel to fill out a form. OR, how can I open her form, and manually highlight the questions I need them to work on. You can highlight thing in form builder you can do whatever you want really. So I just need to be able to send them a new form, with the data from one of them prefilled, and make it custom for that team. I just need to import their answers into the form. I want to make a new form, that is customized for just those 2 people, where I make it clear which questions they need to readdress. This doesn't seem that hard? I don't understand.

    I tried the prefill idea, and it was taking forever, and I had to double click on it over and over, and sometimes it would do the wrong one. And I am confused, are you saying I pull BOTH their answers into the form?? And do I choose the new form as the prefill, then I don't understand what the next step is, because it seems like I am already choosing the prefills in the first step.

    Hi Krista,

    If you have an Excel file and want to use them to prefill the form fields, Yes, that is possible using our Spreadsheet to Form Widget that you can use to import your data. Let me show you how to use it:

    1. Create a spreadsheet with your data structured like you see below. Make sure that the column names in the spreadsheet match the field names on the form, and include a unique column, like an ID, so the data can be distinguished.

    2. In Form Builder, click on the Add Form Element menu on the left side of the page.

    3. Click on the Widgets tab, search for the Spreadsheet to Form widget and add it to your form.

    4. In the menu on the right side of the page, upload your data file. (You can simply drag & drop your excel file to the Upload File area.)

    5. Then, click on the Downward Arrow icon in the Access Code Column option and select the unique column.

    6. You can also customize texts used in the widget. After you complete everything, click on the Update Widget button at the bottom right of the menu.

    I need to have the answers they don't need to change already prefilled and I will MANUALLY go in and edit the form and I can highlight a question text with a color I am sure, or I can add a hover, or whatever so they know which questions need addressed.

    How can I create a form, that can be prefilled with questions I don't need them to readdress, then go in manually, and edit it so it is specific to those people then send it to them?? Just like when I created the original form, I was able to edit it however I wanted, if I wanted to make a question stand out I had a ton of ways to do that, I don't know why we are getting hung up on that.

    I just need to import the data from one of them into the form, then be able to go in and edit the form for them to only complete certain questions. May be I should make the new form, and just say, only work on the questions that have XYZ or whatever next to them. I can import a picture of an exclamation point etc. I just don't want to manually have to fill it all out for them. But I guess you can't make a form that already has answers.....I guess that is the problem??

    Hi Krista,

    Unfortunately, we can only have forms with answer when we use prefills. For your concern, the previous reply of my colleague was the ideal steps we can take for your concern. Other suggestion is sending them the edit link of their submission. But first, you need to edit the submission first in the Inbox and remove the answer that needs to be changed. Let me show you how:

    1. In Form Inbox, select the submission you want to edit.

    2. Click on the three dots icon on the right side of the page.

    3. Click on Edit.

    4. Remove the answer that you want them to change. And click on Submit.

    Modifying submissions to resend to participants to correct Screenshot 41Once you submitted the edited submission, they will receive an email containing the link of their submission and through that link you can inform them to open and resubmit the form. You can also edit the form temporarily to ever user to add the image that notifies them that they need to change their answer.

    You can also try to use the method you have said in your previous reply to create another form that has images that contain the caution that the user needs to fill up and import the submission from the original form. We have a guide on Importing Excel file into Jotform that you can check out.
