How to Set up Duplicate Checking With Salesforce Integration

Salesforce integration allows you to discard a duplicate entry, update the existing record with new values, or merge the two entries to retain the most accurate and comprehensive information, ensuring data consistency and minimizing redundancy across your database.

Standard Matching Rules

By default, the integration uses Salesforce’s standard matching rules to identify whether a record already exists in your Salesforce account. Visit the following pages from Salesforce for the Match Keys:

If Salesforce returns a duplicate error upon creating a record, Jotform will try to find the original record and update it with the new values (if found).

Search Parameters

Jotform uses the following values as parameters when looking for the original record to update:

For Accounts:

  • Full Name
  • [Address] City
  • [Address] Postal Code
Field matching rules in Account Object with Account Name, City, and Zip/Postal Code

For Contacts and Leads:

  • Full Name
  • Email
Field matching rules in Contact Object with Full Name and Email Address

Your form must contain these fields and match them to the corresponding Salesforce fields.

In summary, here is how exactly Duplicate Checking works:

  1. The user submits your Salesforce form.
  2. Jotform sends the values to Salesforce.

  4. If you enable the “Update an existing record” option, Jotform finds the original record using search parameters for the corresponding record type.
  5. Jotform attempts to update this record.
