Unable to transfer Jotform data to Basecamp via Zapier

    Hi Jotform..

    I'm trying to use the Jotform to Basecamp integration. I've connected my Jotform-Zapier-Basecamp accounts in Zapier, I see the records, but none of the data is showing up. I've tried two forms...a Marketing Request form with lots of dropdown entries, conditional stuff, etc. When that didn't work, I created a VERY simple form of name, email, phone and text, and that data (nor the fields) shows up in Zapier either. If I submit the form with the multiple fields...sometimes I see a few of the field names in the Zapier test (other times multiple fields), but none of the data associated with the form answers/selections.

    I want to have Jotform submissions create a document in Basecamp with ALL form entries showing up in the document.

    Any ideas?

    Hi Eric,

    Can you confirm that the Zap is capturing all form fields and their data? Can you take a screenshot of your Form to Zapier connection and send it to us? We’ve got a quick guide on how to do that here. You can also try setting up Zaps again. It's easy to Set Up Zaps in Form Builder with Zapier Integration in Jotform. Let me show you how:

    1. In Form Builder, in the orange navigation bar at the top of the page, click on Settings.
    2. Click on Integrations in the menu on the left side of the page.
    3. Then, search for Zapier and click on it.
    4. Under the Your Zaps section, click on the Connect to Zapier button and log in to your account in the window that opens.

    Yeah...I've done all this multiple times. When Zapier pulls the record, this is often all I see...

    ....even though my form has multiple fields and entries. For example...Submission B, which is displayed above...this is the form responses I entered....

    Could you share how you’ve configured the “Create Document” step in your Zap? Specifically, I’d like to see what you’re using for the Title and Content fields, so we can ensure all form responses appear in the document the way you need.

    Here is my content window from the Basecamp side...it's just auto-populated with I guess are the fields it could find in Jotform?

    Because I have conditional responses set up, all these fields don't show up every time I query a record.

    Hi Eric,

    This can happen if Zapier is not mapping all form fields correctly or if the content step isn’t configured to include every piece of data. To ensure that all form entries appear in your Basecamp document, you can take a few steps. First, manually map each Jotform field in the Zapier action step where you create the Basecamp document. Relying on the auto-populated fields can leave gaps, so adding them one by one guarantees that all fields and their corresponding data are included.

    Another option is to use a Zapier Formatter step before the Basecamp action. With this approach, you can combine all your form fields and their responses into a single, neatly formatted text block, and then map that block into the Basecamp document’s content. This makes sure the submission details are displayed clearly.

    It’s also important to double-check that your Zap trigger is set to the correct form and that the form is properly connected to Zapier through the Form Builder’s Integrations and Zapier section. When testing, use complete submissions where all fields are filled in so Zapier can detect and map every field correctly.

    Finally, review your Zapier task history. This will help you identify any errors or warnings that could explain why certain data or fields are missing from your Basecamp document.

    So are you saying I need to enter data on the form for every possible field that might be filled out on the form, before polling the form with Zapier? So that Zapier is at least aware of the potential for data?

    Hi Eric,

    When your form has conditional fields or fields that don't always get filled out, Zapier may not recognize those fields if they haven't been submitted at least once. This is because Zapier detects fields based on the data it receives from form submissions. If a field has never been filled in a submission, Zapier might not list it for mapping in your Zap setup. You can try submitting the form where all the fields are filled in and check if this information are successfully collected. If not, let us know so we can check again further.

    Ok...I'm ready to try troubleshooting again....

    I created a clone of my "marketing form", removing all but the most simplest fields. It looks like this...

    In step 1 of the Zapier integration, it asks to "test" the connection. It finds my test submission, "Submission A." But when I look at the data it pulled from Submission A, the above fields are not showing. Nor is the entered data. What am I doing wrong?

    Hi Eric,

    Can you send either a screenshot or a quick recording of the Configure section, specifically the Content when setting up the Zap and not after the submission so we can try to replicate it on our end?  Loom works well for recording, or you can upload to Google Drive or Dropbox and send us the link. Or you can use this guide for taking a screenshot.

    Once we hear back from you, we can get moving on a solution.

    I was able to replicate the issue where the form fields are not showing in the Basecamp setup. However, when I tried setting up Zapier directly in the form, the form fields appeared. Check out the screenshot below:

    Can you try setting it up again directly in the form’s Integrations page? If you get the same thing again, we’ll do a more in-depth investigation and work on finding a solution.

    Hi Eric,

    The form fields should appear in the Basecamp Create Document action in your Zap, as shown in my screenshot. In the Title and Content fields, you can click the plus (+) icon to display the available form fields.

    Here is another start to finish screen recording. this time I tried setting up the connection while on the Zapier site.

    Notice that in the Jotform configuration, the fields show up, but there is no data. Even though I entered data on my form.

    Basically....in the Jotform step...the data is not being retrieved...even though the fields are. As I've said many times in this thread. Submission ID, IP Address, data are....

    Should I expect to see data at this stage in the setup?

    To clarify, when setting up your Zap, the trigger step (Jotform submission) should display both the field names and the actual data entered into the form. If you only see the field names without any data, it usually indicates that Zapier isn’t successfully pulling the submission details at that stage. A good next step is to configure the Zapier integration directly from the Integrations tab in the Jotform Form Builder, as this often creates a stronger and more reliable connection for data transfer.

    Since the issue is specifically related to how data is being retrieved from Jotform into Zapier, it may also help to reach out to Zapier Support. They can confirm if there are any ongoing issues with Jotform triggers and provide additional troubleshooting steps tailored to your case.
