Help: Prefilled Fields, Two Step Signature, Textable Link for Signature

    Hello, thanks for helping me out on this. I'm going to try and make this as clear as possible, since I have a very limited knowledge of Jotform, and don't know how everything works.

    Heres my use case: I have a standard contract that I use with all my clients. It has fillable information like [Name] [Email] [Phone] that the customer is allowed to fill out on their own. However, I also have information that I need to fill out unique to each customer, such as [Price], [Address], [Quantity] etc. I need the ability to fill out some fields, keeping them uneditable for the customer (price, address, quantity, etc), but also give the customer the ability to fill out their own information (name, email, phone). At the end, the customer signs this document. After that, I also sign it, to ratify the document and establish them as a customer.


    Here's how I'm doing this in Docusign Right now:

    I have a contract template that is always ready, which allows me to pre-fill fields before sending it to the customer. That contract template locks some fields as uneditable for the customer. Then, the customer receives the email, signs, and I get an email prompting me to complete my signature. The end product is ideal because it has all the fields filled out properly, both signatures are on the page, the customer receives a PDF copy, and I do too.

    • As an added bonus for Docusign, after I send the contract to the customer, I can edit the prefilled fields on the fly (this is helpful in case I misspelled a name, email, or accidentally added an extra zero somewhere I shouldn't have)


    Here's what I've tried with Jotform:

    1. Using a regular formfill, with 1 signature for the customer. I was able to "prefill" some fields and give the customer "Read Only" access to the prefilled fields. This was great, especially since I was able to give the customer a link directly to the formfill. I then had a workflow that prompted me to "Approve and sign" for the completed formfill. This is where we had a problem... The approval signature did not append to the contract PDF. It was only recorded separately inside the Jotform history.
    2. I have also tried using the Sign builder tool. This was going great, but it doesn't allow me to prefill fields, and I didn't like this User Experience as much (for my customers), because it requires me to send an email to the customer, rather than texting them a link.


    Screenshot below is to show what I'm doing right now. But I'm tired of using Docusign. I'd like a better solution. I have more screenshots to show what I've tried. But hopefully this is enough information to get something that will work.

    Other software I use: Basic version of Monday.com, Google Docs.

    Currently, Jotform allows you to prefill some fields and set them as read-only for customers, which you have already done successfully. However, the two-step signature process where you sign after the customer and have both signatures appended to the final PDF is not fully supported in the way you described. The approval signature you add after the customer signs is recorded separately in Jotform history but does not append to the contract PDF.

    Also, the Sign builder tool does not support prefilled fields, and it requires sending an email invitation rather than a textable link, which affects the user experience you want.

    Unfortunately, it is not possible to manually add signatures such as uploading a PNG or image as a signature in Jotform products.

    Given these limitations, your current workflow with Jotform may not fully replicate the exact experience you have with DocuSign, especially regarding editable prefilled fields on the fly and two-step signatures appended to the same PDF.

    Hi Spencer,

    To set up your ideal Jotform Workflow, build the contract using the Form Builder, this should include customer editable fields like Name, Email, and Phone with read-only fields such as price, address and quantity. Then, use the Manual Prefill feature to generate a direct link to complete and sign the form. Let me show you how:

    1. In Form Builder, click on the Publish tab in the orange navigation bar and select the Prefill tab on the left side menu.
    2. Next, select the Manual Prefill option in the Prefill Menu and click on the Add A New Prefill button.
    3. Then, fill out the Fields in your form and click on the Create button in the upper right side of the panel.

    1. Click on the Settings tab in the orange navigation bar and select the Emails tab on the left side menu.
    2. Next, click on the Pencil icon of the Autoresponder Email, click on the Form Field button in the Email's Content navigation bar and select the Edit Link option in the Dropdown Menu.
    3. Then, click on the Save button to apply changes.

I suggest disabling the Jotform Sign Automation, you'll still receive the signature as part of the submission, but it won’t be processed through Jotform’s formal Sign workflow. Let me show you how:

    1. Go back to the Settings tab, select the Jotform Sign tab on the left side menu and toggle off the Jotform Sign Automation feature.

    1. Click on the Downward Arrow icon in the upper left side of the panel and select the PDF Editor option in the App Menu.
    2. Then, make sure that all field are being added in the PDF Document.
