Bulk Signature Collection Options

    Hello,

    We have a letter that we want to get signed by as many of our members as possible. Realistically though, we know we may not be able to get all of our members to sign the letter by the time it is needed. Using something like DocuSign or Adobe Bulk signing feature wont work because if we send to all of our members and just 1 person doesn't sign or we cant get 1 or more people to sign, we cant download/print a partially signed document. So either i send the letter one by one to each member or we use an online petition type platform to gather signatures. This Jotform platform seems to have bot functions. Can we directly get as many signatures as possible onto a letter and download/print at any point in time (after any number of signatures are obtained)? Or is it more where the letter could be displayed in the online petition (or the text of it), then signatures are collected separately to then be downloaded at a different time in Excel/CSV format?

    Hi Brent,

    We don’t support dynamic multi-signer documents with real-time embedded signatures. Instead, Jotform works like an online petition where you display the letter, collect individual signatures via the form, and download all responses anytime in Excel or CSV. This lets you gather signatures without waiting for everyone, and access or print them whenever you need. You can easily download your data from Jotform Tables as a CSV, Excel, or PDF file. Let me show you how:

    1. On your My Tables page, hover over the form whose data you want to download, and click on View Table.
    2. On the upper-right side of the page, click the on Download All button. 
    3. Now, select Download as CSV, Excel, or PDF to download your data.

    So, if i have a typed-up letter in pdf form, am i able to upload and display this letter with the Jotform Petition function? I understand that the Petition function of Jotform wont collect signatures on the displayed pdf letter itself, but the accumulated signatures will be downloadable at any time via Excel/CSV/PDF, correct? And the Jotform Sign feature, which i understand is different from the Jotform petitions, also is NOT able to request Bulk signing from multiple parties in a way that you can download the PDF file letter after any number of the recipients sign right? I'm guessing whether you request signatures sequentially or in parallel, you can't download/print the original letter/file with signatures until ALL parties have signed, not a portion of them? Thank you!

    Hi Brent,

    Regarding with your first question, if you can upload and display the letter with the Jotform Petition function? Yes, you can upload as a Signed Document or a Smart PDF Forms. First, let me show you how to upload your PDF in Smart PDF Forms. Creating a form by uploading a PDF is easy. Let me show you how to do it:

    1. On your My Workspace page, click on Create on the top-left side of the page.
    2. Select Form from the assets, and then click on Smart PDF Form.
    3. In Smart PDF Forms, click on Upload Document, and then select the PDF you want to convert to a form, or just drag and drop the PDF into the white upload area.

    1. On your My Workspace page, click on Create on the top-left side of the page.

    2. Select E-Sign from the assets, and then click on Upload Document.

    3. Now, click on Upload Document, and upload the PDF you want.

    4. Finally, click on Create Signable Document.

    Bulk Signature Collection Options Image 5 Screenshot 104 Regarding with your second question, yes, you can download at anytime via Excel/CSV and PDF, you can follow the steps provided by my colleague Kyle above on how to do that. Regarding with your last question, yes, you won't be able to download the signature until all the parties signed the document, they will need to submit the form or signed the document first so that you can receive the data or signature.

    Okay thanks for that info! If i use the Jotform Petition feature instead of the Jotform signing function, when people begin to "sign" the petition, will it display "signatures" as how they signed? Or does it just show their name, location, and date? Also, I was unclear in your previous explanation if you were saying whether or not a pdf file could be uploaded for viewing in the Petition function of Jotform or if you can only copy and paste the text of the letter/document in the Petition description? Also, is there a cost to using the Jotform Petition for needing only about 45 signatures of a petition or less? Thanks!

    Hi Brent,

    If you are looking to collect multiple signatures, then you can create a signable document.  It’s easy to create a sign document with Jotform Sign. Let me show you how:

    1. On your My Sign Documents page, and click on Create Sign Document on the left side of the page.
    2. Click on Upload Document to upload your own document from your device.
    3. Drag and drop your document into the Upload box, or click on Upload Document to select it.
    4. Once you add your document, click on the Create Signable Document button.

    1. Click the Detect Fields button in the option that appears below the green navigation bar.
    2. After it matches the suitable elements with the spaces, click on Keep All.
    3. If you want to delete a field, just click on it and then click the Trash Can icon below it.

    1. Click on the Dismiss button in the option that appears below the green navigation bar.
    2. In the Document Elements menu on the left, drag and drop the elements to your document.

    You can set the signing order for your Jotform Sign Document. Let me show you how:

    1. Open your document in Sign Builder, and then click on Send in the green navigation bar at the top of the page.
    2. Then, toggle on the Signing Order feature.
    3. Click and hold the Six Dots icon, then drag them in the order you want.
    4. Now, click on Send to Sign, and you're done.

    Okay I think you may not be understanding my question. I was told here by a previous person that Jotform Sign can send a document to multiple people for signature, but you cant download it until ALL parties sign. But I am unable to rely on all parties to sign, which is why I'm trying to go the Petition route to collect as many names/signers as we can knowing realistically that some of our members may not want to sign or get to it. Jotform does have a separate petition feature/function correct? My question was whether just names, dates, and other info is collected. Or if you can have people "sign" a petition with a signature, whether e-signed, drawn signature, or typed signature.

    Hi Brent,

    Unfortunately, we don't have an option to download the uncompleted Sign Document. You can only do it once it is completely signed by all the signers. What you can do instead is to only add a single signer on a Sign Document and then send a Sign Document invite link to all your signers, so you can still download the ones that are signed. Let me show you how to do it:

    1. Open your document in Sign Builder, and then click on Send in the green navigation bar at the top of the page.
    2. In the menu on the left side of the page, click on
     Share with Link.
    3. Now, select the role that will start the signing flow from the 
    Dropdown menu.
    4. If there are multiple signers, enter their details and click on 
    Create Link.

    5. Then, click on Copy Link, and you're ready to share your document.

    Good morning! For the process you are describing above (sharing a sign document by adding a single signer & copying a link to share), when you share that link with others and they sign, are they signing what ends up being separate individual signed documents, or will each person you share that link with have their signature added to the same document that the single signer signs?

    Hi Brent,

    When you share a Jotform link for signing, each person who signs creates a separate individual signed document. The signatures are not added cumulatively to the same document; instead, each signer completes their own distinct signed document. This way, every signer receives their own copy of the signed document, and you can manage and download each signed document separately from the Sign Inbox.

    Since you want to collect as many signatures as possible without requiring everyone to sign, a petition-style form built with a regular Jotform form might be a better fit. You can include name, date, and signature fields, allowing each person to submit independently. This way, you can collect all submissions without waiting for everyone to sign a single document.
