    Hello.

I want the answer to a drop down field to auto populate an email field. There will be about 25 options in the dropdown and therefore 25 different email options (this email is key as it is part of the workflow approval). Ideally, I would like to replicate this across more than one form so my questions are:

    1. What is the most efficient way to link a dropdown list of locations with the matching location email - 25 options.
    2. Does this have to be done manually for each form when I create them or can it be uploaded with a spreadsheet?
    3. I have looked at Spreadsheet to Form but that relies on the location being typed correctly by the user and won't work well for this process which is why I am using a dropdown instead.

Thank you in advance for your help.

    Hi Sarah,

Thanks for reaching out to Jotform Support. I suggest assigning the email addresses as calculation values in your dropdown field, and then using conditions to copy them to the email field. Let me show you how:

    1. In Form Builder, click on your Dropdown field and on the Gear icon next to it.
    2. Click on the Options tab on the right, and Enable the Calculation Values.
    3. Enter the respective email address of each option on the Calculation Values section.

    4. Now, click on the Settings tab on the top of the navigational bar, and click Conditions on the left side panel.
    5. Select the Update Calculate Field condition.

    6. Create a similar condition below, and click on the Save button.

That's it. Feel free to test this demo form or clone it to your account to inspect it further. We also have guides on How to Pass a Field Value to Another Field and How to Assign Calculation Values that you can check out. If you have multiple forms, you'll have to set it up the same way for each form.

Give it a try and let us know if you need any help.
