My first Workflow

I created one for the Employee Time Off Request. It seems simple enough. But first, I'm not immediately getting the APPROVAL Request email. When I do get it, I don't get the email saying it's been approved. It shows up as a submission, but nothing is showing up in the inbox. Is that because I'm initiating it with my email dave.anderson@companionpetstn.com, then I'm the approver to with the same email, but I'm logged into the inbox as information2@companionpetstn.com?

The first one i did I did receive the email asking me to approve it or deny it. I hit approved, but never got anything saying it was approved.

    Thank you.

Hi Dave, thanks for reaching out! I understand you're having trouble with your approval workflow. To clarify, could you please provide the email address that you're using as the approver in the workflow? Once I have that, I can investigate further.

Hi Dave, thanks for the update. Since you're using the same email to initiate and approve but logged into a different inbox, the approval emails might not appear as expected. In Jotform Workflows, approvers need to be logged in to the account linked to the approval email to receive and process approval notifications properly.

To fix this, you can disable the "Require Login for Approver" option in the Approval element settings in Workflow Builder. This allows approvers to approve requests directly from the email without logging in.

Check the Approval element's settings and toggle off "Require Login for Approver" if you want to simplify the process.

Require Login for Approver is toggled off.

I received the email, and I clicked APPROVE.

But nothing happens after that. I don't receive an email telling me it is approved.

There is nothing in the Workflow Inbox. My first Workflow Image 1 Screenshot 30My first Workflow Image 2 Screenshot 41

Hi Dave, since "Require Login for Approver" is off and you clicked Approve but didn't receive a confirmation email or see updates in Workflow Inbox, please check the following:

    1. Ensure the approval flow is fully saved and active in Workflow Builder.
    2. Verify that the approval notification email is properly set up to send after approval.
    3. Confirm that the approver's email in the workflow matches the email receiving the notifications.

If everything seems correct, sometimes refreshing the Workflow Inbox or reloading the page helps to see the updates.

Let me know if the issue persists.

Everything appears set up correctly. I was able to approve and deny if I hit the TAKE OVER button, not sure why? But after hitting approve and deny, I have not yet received any email telling me they are approved or denied. :-(

Hi Dave, since you can approve or deny only after clicking the TAKE OVER button, it means the task is assigned but not yet claimed. The TAKE OVER button lets you claim the task to complete it.

Regarding not receiving approval or denial emails, please ensure you have an Email element connected after the Approval element in your workflow to send those notifications.

Also, double-check the Email element's recipient settings to confirm the emails are sent to the correct address.

Let me know if you need further help.

How do you claim a task?

Hi Dave, to claim a task, simply click the TAKE OVER button in your Workflow Inbox. This assigns the task to you, allowing you to approve or deny it.

Once claimed, you can complete the approval process and receive the corresponding notifications if set up correctly.

    Hi Dave,

You can set automatic sending of an approval notification to the email recipient from your form field by adding an Email element right after the Approve field on your form. This way, once the request is approved, the form will automatically send an email to the submitter to notify them of the approval. Let me show you how to do it:

    1. In Workflow Builder, click on the End element, then click on the Delete button, and click on the Confirm button.

    2. In Workflow Builder, on the Workflow Elements, on the left side of the page, click and drag the Email element into your workflow after the Approve element.

You can also set the recipient using the Email field from your form so the email address entered in the Email field will receive the notification email. Let me show you how:

    3. Click on the Email Settings beside the Email field.

    4. Next, click on the Recipient tab and click on Field and select the Email field.

Give it a try and let us know if you need any more help.
