Some fields not showing on PDF document

    Hi I have 2 distinct issues;

    1. The PDF is not bringing in some elements eg childrens names see link - it is also bringing in blank form fields when the option to hide them is selected - this is replicating all the way through to the actual client facing pdf
    2. The pdf attachment and filled fields did not go through to hubspot - when i went to investigate it said 'not connected' and I had to reauthenticate. When I did this, the pdf form (set to send attachment to hubspot) and all the rich 2-way data (at the field level) didn't come through - so am I able to re-launch the workflow in some way to force the field update and attachment?

    Thanks

    Garvan

    Hi Garvan,

Thanks for reaching out to Jotform Support. I'm an AI assistant. I'll do my best to help you until someone from the support team is available.

Regarding your PDF issues, some elements like children's names might not be detected automatically by Smart PDF Forms, so you may need to manually adjust field connections or update your original PDF by re-uploading it in the Smart PDF Forms editor. This can help sync the fields properly and hide blank fields as expected.

For the HubSpot integration, after re-authenticating, the workflow does not automatically resend previous submissions. Unfortunately, there is no direct way to re-launch the workflow to force updates or resend attachments. You may need to resubmit the form data to trigger the integration again.

Let me know if you need guidance on updating your PDF or managing the HubSpot integration settings.

Give it a try and let us know how it goes.

    Best regards,
    Jotform Support

    Hi Garvan,

I cloned your form and tested it to see if I could replicate the issue, and I ran into the same issue. When I looked at the PDF templates, I saw that it's not updated with the fields you have in the form. This happens when you made changes to the form like removing or adding new fields. There are three alternative solutions if the PDF file doesn't change when you update the form:

The first one is when you make any changes and open the PDF editor:

    1. After you make changes in Form Builder, click on the Downward Arrow icon on the top-left side of the page and select PDF Editor.
    2. Click on the Yes, Proceed button in the window that pops up, and the file will update automatically.

Some fields not showing on PDF document Image 1 Screenshot 40 Second, you can always update the PDF file manually. Here’s how to do it:

    1. Click on the Add Element menu on the left side of the page.
    2. Then, click on the Form Fields tab, drag and drop or click on the fields you want to add your PDF document.

    1. In the blue navigation bar at the top, click on the New PDF button.
    2. In the windows that opens, choose a layout and that’s it.

Let us know if you need any more help.

Hi I started fresh with a new document https://www.jotform.com/pdf-editor/10252303084014039?preview=true

but the children's names that are blank are still appearing (4th/5th/6th) and I don't want to delete them from the template as it will affect the form when there is data in the filled fields.

What am I doing wrong here?

    Hi Garvan,

PDF Editor has an option to show or hide empty form fields. Here's how to enable it:

    1. Open PDF Editor with the document.
    2. Click on the Gear icon from the right-side of the screen.
    3. Ensure the option Hide empty form fields is enabled.

If this doesn't solve the issue, let us know the URL of the form where this PDF document is attached to. It would also be helpful if you could share with us a screenshot where the issue can be seen.

Give it a try and let us know how it goes.

    Hi Gervan,

Thank you for reaching out. I checked the issue you mentioned. The reason you cannot hide this element is that it is a heading, not a fillable field. Since headings cannot be empty or filled, the hide functionality does not apply to them.
