How to send the request back to the person if it is denied?

    Hello - In our form, we have 20+ people who are capable of completing the form. The form will go to their supervisor for approval. If the supervisor denies the request, we want the form to go back to the person who originally submitted the form. How do I set that up?

    Hi Mackenzie,

    Thanks for reaching out to Jotform Support. I cloned and checked your Workflow and it seems that you have setup multiple elements already. For us to understand the issue, can you explain which part of the workflow is not working as expected so we can check? I also check each element but I can't find a supervisor approval. Can you send us a screenshot of the specific workflow part so we can test? If you can take a screenshot of what’s happening, that'll help us to understand better what’s going on. Let me show you how to post a screenshot to our Help Center:

    1. On the Help Center page, scroll down to the Your Answer section and click on the Image icon.

    2. Drag and drop your image into the Upload box, or click on it and select your file.

    3. Then, click on the Add button in the bottom-right corner of the window.

    4. To resize it, click on your screenshot and then click on one of the boxes in the corners, and drag it inward.

    5. Once you're finished, click on the Post Answer button at the bottom right of the Your Answer section.

    We have 4 supervisors I set up. Christopher, Raul, Lynlee, & Steve. I have the approval set up how I want it, but if they are to deny the form, I want it to go back to the person who originally entered the form. there are over 20 people who will be entering the form. What is the best way to email them the denial?

    Hi Mackenzie,

    In order to send an email to the form fillers when their supervisor denies, you first need to add an Email element to your form. Let me show you how to do that:

    1. In Form Builder, click on Add Element in the upper-left corner of the page.

    2. Under the Basic tab, select Email from the options.

    Once done, you need to add Email elements to your Workflow, and connect each of them to the first four Approval elements. Let's do it:

    1. In Workflow Builder, click on Add Element in the upper-left corner of the page.

    2. Under the Basic tab, drag and drop four Email elements onto the flow.

    3. Connect the first Approval element to the first Email element.

    4. Select Deny as the Outcome.

    5. Do the same steps for the second, third and fourth Approval and Email elements.

    6. Click on the Email element, and select its Envelope icon to open the Email Properties modal.

    7. Modify the Email Content as needed, and click on Save at the bottom.
