Those next steps should be Automated Booking Offer Notifications - to the user and to our security team. Admins must be able to move a booking to a different room without re-approval from original requester, or cancelling the booking; the room offered should be included in our Booking Offer email. Once both admins approve a booking, campus security should receive an automated email with the details submitted e.g. event size, catering, alcohol, and they will do their own security checks with the requester independently of the Jotform.

    Hi Hazel,

To achieve automated booking offer notifications to both users and the security team, you can set up email notifications within the form that trigger based on booking status changes.

For you to be able to make booking status changes, you can do so by clicking the Edit Submission link on the Notification Email that you receive after every submission. Let me show you how:

Now, you were able to make changes on the booking details. Let's create the Notification Email that will be received by the security team after the changes. Let's do it:

    1. In the Emails tab on the left side of the page in Form Builder, click on Add Email.

    2. Next, select Notification Email.

    3. Click on the Recipients tab and enter the security team's email address in the Recipient Email field.

    4. Now, just click on Save and you're done.

As for the user's email that will be received after the changes, we can Set up an Autoresponder Email. Let me show you how to set that up:

    1. IForm Builder, in the orange navigation bar at the top of the page, click on Settings.
    2. In the menu on the left side of the page, click on Emails.
    3. Now, click on Add Email.
    4. Then, select Autoresponder Email, and customize the options the way you want them, and you’re done.

Now that we have both the Notification Email for the Security Team and the Autoresponder Email for the users after the changes made, let's set up the conditions that should be triggered for the emails to be sent to them. Here's how:

    1. In Form Builder, click on the Add Element button on the left side of the page.
    2. Under the Widgets tab, search for Get Form Page URL and drag and drop it to your form. How to send out notification emails upon editing form submission? Image 6 Screenshot 155
    3. Now, let's set up the conditions. On the orange navigation bar at the top of the page, click on Settings.
    4. Click on Conditions on the left of the page.
    5. Now, click on Add a New Condition and then click on Change Email Recipient. How to send out notification emails upon editing form submission? Image 7 Screenshot 166
    6. Set up the conditions as you see below and click on Save. How to send out notification emails upon editing form submission? Image 8 Screenshot 177How to send out notification emails upon editing form submission? Image 9 Screenshot 188

By setting up these email notifications and conditions, your users will receive an Autoresponder Email while your security team will receive a Notification Email once there are any changes in the booking.

You can check and test my Demo Form if it meets your requirements. You can also Clone it for you to see how I set the email notifications and conditions.

Give it a try and let us know how it goes.
