alicialynch688Asked on July 3, 2025 at 6:36 PMI have assigned collaborators, but when they open the table, there is only an option to download attachments uploaded through the form. I need them to be able to download the submitted PDF. I am hoping to reduce the size of the PDF in the future, so it will actually attach to an email, but in the meantime, collaborators need access.

Hi Alicia,
If you want your collaborators to download the submissions as PDF, and not just the attachments, you will have to share with them your PDF Editor. Let me show you how to do this:
- In Smart PDF Forms Builder, click on the Downward Arrow icon on the upper left side of the page and select PDF Editor.
- In PDF Editor, click on Settings and set up your preferred PDF settings.
- Click on Create Link and manually send it to the collaborators.
- You can also directly send the link to the users by entering their email address and clicking on the Send Invitation button.

I was unsuccessful at getting the ability for collaborators to be able to download the submitted form. When they access the table including form submissions, they can download the attachments, but not the completed form.On our old form, we received an email with the completed PDF, but for some reason, this form can’t be emailed once submitted.

Hi Alicia,
Again, downloading the submissions with PDF attachment is only available when sharing your PDF Editor with the collaborators. As for the issue regarding the PDF not being attached in emails, I've moved it to a new thread and will be helping you out here.

Hi Alicia,
Could you try to remove your collaborator, then add it again? If the issue still persists, would you allow us access to your account, so we can check more into the settings? Don't worry, you can disable that again after we're done checking things out. Let me show you how to do it:
1. In the upper-right corner of your My Forms page, click on your Avatar/Profile Image icon.
2. In the small window that opens, click on Settings.
3. In the panel on the left, click on the Security tab.
4. Then, on the bottom-right side of the page, toggle Jotform Support Access to the On position.
