How to Share Submissions to Other Users?

    Hi Jotform Support Team,

    We are using Jotform to collect ministry partner applications, and these applications include the submission of financial files.

    Our volunteer teams need to be able to download these uploaded financial files as part of their review process. However, they are currently unable to download the files attached to the submissions.

    Could you please advise on how we can grant our volunteer teams the necessary permissions to download the files that have been uploaded through these Jotform applications? We need a solution that allows specific team members to access and download these files without requiring full administrative access to the Jotform account.

    Hi vkirkland,

    Thanks for reaching out to Jotform Support. You can easily share your Jotform Tables with others using the Share button. This will let them download the attached files in the submissions. Let me show you how:

    1. On the Jotform Tables page, click on the Share button on the top-right side of the page.

    2. Click on Share Settings and set your Table’s privacy options.

    3. Now, click on Go Back in the top-right corner of the panel and use the Generated Link or the Invite by Email feature to invite people.

    You can easily revoke the invites you’ve sent to others. Let me walk you through it:

    1. While in Tables, click on the Share button to open Share Table.

    2. Now, click on the avatars/icons of the people you invited next to the Shared with section.

    3. Select the users that you want to revoke the access to by checking the boxes on the left, and click on Revoke.

    4. Then, click on the Yes, Delete button. That’s it, you’re done.

    Hi Vicki,

    Keep in mind that Sharing a table in Jotform Tables allows collaborators to view and interact with form submissions based on the permissions you set, but it doesn't directly enable them to open files embedded in the PDFs generated by Jotform. The PDF generated from submissions is a separate document that can be sent or shared via email or download. If you want collaborators to access files submitted through the form, you can enable download permissions in the shared table settings, allowing them to download submission files separately from the PDF reports. Let me show you how to do it:

    1. In Jotform Tables, click the Share button located at the upper right corner of the page.

    2. In the window that appears, click on Share Settings.

    3. Next, scroll down to the Apply Limitations section.

    4. Now, enable the Show Download Button option to allow your users to download files.
