How to use form fields, and include PDF link, on my autoresponder template?

    Hey there. How do I step through a new email with field variables. When I run the test the fields variables are not filled in. Also, I'm using a field to create a dynamic link. Can you take a look to see if my use of fields is correct or let me know how I can step through the testing process for this email?

    Hi Teresa,

    Thanks for reaching out to Jotform Support. I cloned and tested your form and I was able to replicate the issue. But after some more testing, I found that updating the form field name in your Autoresponder Email will solve it. Let me show you how:

    1. In Form Builder, click on the Settings tab on the orange navigation bar at the top and click Emails on the left side panel.
    2. Next, click on the Pen icon over your Autoresponder Email.
    3. In the Email Content, replace your existing form fields name by using the Form Field button on the upper right corner of the Email Content area. I would also suggest using the PDF Link option found in the Form Field menu to add a link for your users to download their PDF submission report.

    You can also attach PDF submission report to your email notifications automatically. Let me show you how:

    1. On your email setting, click on the Advanced tab and Enable the Attach PDF option.
    2. Next, select your preferred PDF template, and click on the Save button.

    Also, when testing your email template, it's best to make a test submission on your form using the preview option or its direct link.

    Can I use the pdf attachment feature dynamically? That is the file attached is not a default file. The file changes based on the profile results. I would prefer to attach the document. It seems a little cleaner and easier for the user.

    Hi Teresa,

    Are you trying to upload your own PDF file that would not have values based on the user's answer? If so, we can use the Attach File option in the Autoresponder Email. Let me walk you through it:

    1. In Form Builder, click on the Settings tab on the orange navigation tab at the top, and click Emails on the left side panel.
    2. Next, click on the Pen icon over your Autoresponder Email, and click on the Advanced tab.
    3. On the Attach File section, use the Upload File button to upload your file, and click the Save button.

    No, I understand how to attach a file. My question is how can I attach a different file based on the profile results. If not, how can I turn the link inside the email into a short form link.

    Hi Teresa,

    You can customize your PDF report through PDF editor. But if you prefer to use your own PDF, and map form field answers in it, I suggest creating a new form with Smart PDF forms. Jotform makes it easy to integrate your PDF files using Smart PDF Forms. Let me walk you through it:

    1. On your My Forms page, click on Create Form on the top-left side of the page. 

    2. Choose Import Form and then Import PDF Form.

    3. Now, upload your PDF file.

    4. Add the necessary fields and customize them using the Add Form Element menu on the left side of the page.

    Sometimes, the fields that are automatically created in the PDF file will be in the wrong place. If that happens, you'll have to move and resize the fields. Check out the screencast below to see how to do that:

    No, this isn't what I want either. I would like to send the user a pdf (already created) based on the user's profile results. For example, attach file A if profile is A, or attach file B if profile is B.

    If this is not possible, how can I assign the long file link in the email into a few descriptive words or a button that says (download your profile).

    Hi Teresa,

    You can send the autoresponder email that contains the correct PDF based on the profile using conditions. Let me show you how:

    1. In Form Builder, in the orange navigation bar at the top of the page, click on the Settings.

    2. In the menu on the left side of the page, click on Conditions, and then click on Add Condition, then select Change Email Recipient.

    3. Set up the conditions as you see below and click on Save:

    I gave you an example based on the Single Choice element, but you can adjust the condition as needed. Also, to use different emails, you'll need to create separate ones.     Great. I understand. Let me ask another question. How can I assign the long file link in the email into few descriptive words or assign it to a button that says (download your profile). This is more automated for me because it allows me to update a file without having to return to Jotform to change the specific file in the email. Can Jotform assign buttons to a link?

    Thank you so much for your support but I found exactly what I needed to accomplish the task I wanted to complete. The answer was to update the WYSIWYG logic to include my field tag surrounded by HTML code. The results were "Click here to view your report" in which the link changes based on the user's responses. If someone else has the same issue, here's an example of the code. <a href="{longLink}">Click here to view</a>
