Using Edit Links for Multi-step Signatures

    I’m stuck on a couple of issues in creating the exact document that would fit the College’s needs. There are pieces in Form Builder that I cannot find in Sign Builder and vice versa..


    If we use In Sign Builder

    1. I need to be able to add a calculated table, but I cannot see a table as an element option.


    In Form Builder

    1. I need to be able to send the form to different signers (like how Sign Builder can sequentially send the form to others for review/signature)
    2. Here’s what is needs to look like:
    3. Admin Assistant prepares the form
    4. Dean reviews and signs their signature element
    5. Faculty reviews and initials the appropriate box, uploads a document if needed, and signs their signature element
    6. VPAA reviews and signs their signature element
    7. Form is complete


    Can you please point me in the right direction and/or let me know if what I need is possible to do in Jotform?

    You're right to notice that Jotform Form Builder and Jotform Sign Builder offer different capabilities, and combining the best of both worlds can be a little tricky.

    Issue 1: Calculated Table in Sign Builder

    Jotform Sign Builder does not support calculated fields or advanced widgets like input tables with formulas.

    Workaround options:

    Build the form in Form Builder, where you can use Input Tables, Form Calculation widgets, and other logic tools. Use the Approval Flow feature in Form Builder to replicate the sequential signing process. Or, calculate values in Form Builder and generate a PDF to send for signature via Jotform Sign as a final step.

    Issue 2: Sequential Signing in Form Builder

    Form Builder doesn’t have native support for multiple people signing a form within the form like Sign Builder, but…

    Solution: Use Jotform Approvals + Form Builder.

    You can set up a flow like this:

    1. The Admin assistant fills out the form and submits it.
    2. It kicks off an Approval Flow where:

    • The Dean gets the form and signs (via the "Approval" element or with a Signature field via an Edit Link).
    • Then the Faculty receives the form (can be via an "Edit Link" again), adds initials, uploads documents, and signs.
    • Finally, the VPAA gets the form for final signature.

    3. Once all signatures are collected, you can generate a final PDF with everyone’s input.

    You can use the "Edit Submission" link to allow each signer to interact with the same form and track changes.

    You can easily customize approval outcomes in Approval Request Emails using the Show/Hide Task Actions options. Let me show you how:

    1. In Workflow Builder, click on the Approval Element field, then click on the Gear icon to open Approval Properties.
    2. In Approval Properties on the right side of the page, scroll down and click Edit Email under Notification Emails.
    3. Then, click on the Eye icon, in the window that opens, select the outcomes you prefer, then click on the Save button.

    You can use the "Edit Submission" link to allow each signer to interact with the same form and track changes.

    Summary Recommendation:

    • Start with Form Builder (for calculated table + flexible logic).
    • Use Jotform Approvals to route the form sequentially.
    • Include Signature fields for each role.
    • Use Edit Submission links for each step so the same form is completed step-by-step.
    • Optional: Use conditional logic to show/hide sections depending on who's signing.
