    Hi, I have a question regarding workflow. Is is possible to create a secondary approval process for a form that is being completed? For context, once an assessment that is filled out, I need to review it for approval. If I deny it for the first time, I need them to revise it. Once they revise, I need it to send back to me for approval again.

    Currently, whenever someone revises their forms, it just ends the workflow. I need a way to at least review it a second or third time for approval. Otherwise, can you please suggest a better way to set up this type of workflow that I'm looking for? The more simple the better.

    Thanks for reaching out to Jotform Support. Jotform Workflows lets you set up approval flows for your form. Once submissions come in, you can approve or deny them through Jotform Inbox. Let me show you how:

    1. In Form Builder, click on the Downward Arrow icon next to the Jotform Logo.
    2. In the dropdown menu, select Jotform Inbox.
    3. In Jotform Inbox, scroll down and click on the Approve or Deny button.

    You can use Jotform Inbox to manage your approval workflows, specifically leveraging the "Request More Information" feature. When a form is submitted, you can review it directly in Jotform Inbox. If the submission doesn’t meet your requirements, you can use the "Request More Information" option to send it back to the submitter for revisions. Once they update and resubmit the form, it will automatically be sent back to you for further review and approval. This process allows for multiple rounds of revisions and approvals without ending the workflow prematurely.

    To prevent the workflow from restarting automatically when a submission is edited, you should turn off the "Restart Workflow on Submission Edit" setting. This ensures that when a submitter updates their submission, it won’t trigger the workflow to start over. Instead, you can manually handle the process using Jotform Inbox and the "Request More Information" feature to keep control over the approval and revision cycle.

    So that does not work for me because we use these forms under a workflow. And when I try to ask for more information, it shows information on the "Prefilled" form, when I need more information on the "Initial Assessment Form".

    Hi emertiushomecare,

    You can redirect your form fillers to the second and third form instead so when the workflow is restarted, it does not send both form back for revision. Let me show you how to set that up: 

    1. In Form Builder, in the orange navigation bar at the top of the page, click on Settings.
    2. In the menu that opens on the left side of the page, click on Thank You Page.
    3. Now, select Redirect to External Link and paste the URL of the second form.

Enable Restart the Workflow on Submission Edit option, so that any resubmissions will be automatically sent back to the approvers for review. Check out the screenshot below to see how it works:

    I have a question, do I have to manually put in the link of the second form every time I send this out? Because the second form is prefilled. Maybe I'm not understanding.

    Are you referring to the link added on the Thank-you page on my previous response? If so, you only needed to add it once, and it will be there until you removed it. If that’s not exactly what you’re looking for, can you explain a bit more so I can help you better?
