Notifications upon APPROVAL not submission workaround

    I've seen several questions posted in the past about a specific topic that has yet to be integrated into Jotform. Right now the only notification available for an approval is an email. There are some integrations you can plug into the flow at the end, but nothing that separates the approved submissions from anything else. Here's my work around

    I have google sheets integrated to my form, so every submission gets uploaded to a sheet

    After my approval email is sent, I have a slack message send to a private channel via workflows. That message reads Application Approved (Submission ID)

    Using make.com, I watch that channel on slack for a new message, search the submission ID, pull that row and copy it to a new sheet labeled Approved Applications.

    From there you can do whatever you want. When a new row on that spreadsheet gets updated, you'll know it's only for applications that have been approved.

    It looks like you're not reporting an issue but rather providing a helpful example of how you’re handling notifications based on approval status. Your setup using Google Sheets, Slack, and Make.com is a great way to isolate approved submissions and trigger follow-up actions externally.

    Out of curiosity, if Jotform were to support more built-in notification options after an approval, how would you ideally want to receive or handle those approved submissions? For example, would you prefer in-app alerts, dashboards, integrations, or something else entirely? That kind of detail helps us make a stronger case when raising a feature request.

    We're a pet rescue/sanctuary, and we're using jotform for our application process. So for us specifically, we would like integrated text messages (we use OpenPhone) that would tell potential adopters when their application is approved. Integration of an entirely new app is a big ask though.

    An easier solution would be one like I'm using for my workaround, where approved applications are sent to a different sheet. From there I could use make or zapier to watch for new rows to be added.

    Or better yet, make approvals trigger a zap (though I understand this is hard to do because the options are customizable, and not everyone uses a simple approve/reject)

    Thanks again for sharing your workaround, it's a solid example of using Slack, Google Sheets, and Make.com together to isolate approved submissions and trigger external actions.

    We looked into this further, and you're right: Jotform currently doesn’t offer a built-in trigger that runs specifically when a submission is approved in the Approval Flow. Native integrations, like Google Sheets, run right after submission, not at the approval stage, and there's no built-in way to route only Approved entries to a separate spreadsheet or trigger a Zap.

    We’ve gone ahead and raised a feature request on your behalf, ideally to allow approvals to trigger direct integrations or external automations like Zaps or row creation in a second sheet. While the feature you're looking for isn't available at Jotform right now, we've gone ahead and escalated your request to our developers.

    Exactly when or if it's developed depends on their workload, how viable it is, and how many other users also request it.
