Monitoring serial number of coffee machine using QR scanner

i have master list of coffee machine, before the customer can order consumables ( coffee, creamer, milk) ,user has the scan qr code of serial number of the machine

i already created the order form for consumables, the only missing data is the scan qr code of the coffee machine and search it on our master list to find if the serial number scanned is valid

please asist

First, you will need to add a QR Code Reader Widget to your existing consumables order form. This widget will allow users to scan the coffee machine’s serial number directly into the form. Let me show you how:

1. In Form Builder, click on the +Add Form Element on the upper left side of the panel to open the Form Element Menu.
2. Go to the Widget Tab, search for the QR Code Reader widget and add it to your form.
3. Then, hover your mouse over to the Widget Settings window and click on the Update button.

Now, if your master list is under a database, you can integrate it with your form so it can be validated the scanned serial number in real-time. After that, you can set up a conditional logic in the form to verify if the scanned QR code matches a valid entry in the master list. For instance:

• If valid, allow the user to proceed with filling out the form.
• If invalid, display an error message notifying the user that the machine is not recognized.

I understand that you’re looking to validate coffee machine serial numbers using QR codes and connect this with your master list. Unfortunately, it’s not currently possible to directly use QR codes for this type of integration. While the feature you’re looking for isn’t currently available at Jotform right now, we've gone ahead and escalated your request to our Developers. Exactly when or if it's developed depends on their workload, how viable it is, and how many other users also request it. If there are any updates, we’ll circle back to this thread and let you know. 

As a workaround, you can use the Spreadsheet to Form Widget. This widget allows you to upload your master list (Excel file) to the form. Users can then manually input the coffee machine’s serial number, and the widget will validate it against the data in your master list. Let me show you how:

1. Create a spreadsheet with your data structured like you see below. Make sure that the column names in the spreadsheet match the field names on the form, and include a unique column, like an ID, so the data can be distinguished.

2. In Form Builder, click on the Add Form Element menu on the left side of the page.

3. Click on the Widgets tab, search for the Spreadsheet to Form widget and add it to your form.

4. In the menu on the right side of the page, upload your data file. (You can simply drag & drop your excel file to the Upload File area.) 

5. Then, click on the Downward Arrow icon in the Access Code Column option and select the unique column.

6. You can also customize texts used in the widget. After you complete everything, click on the Update Widget button at the bottom right of the menu.

Now, when people fill out your form and enter the unique code from the spreadsheet, the corresponding fields will automatically populate when they click Auto Complete Fields. Check out my screencast below to see how it works: Check out my sample form and you can clone it.
