Good afternoon,
We have a form in JotForm titled First Report of Incident with a workflow that routes submissions to the appropriate departments for review. Currently, the report is emailed as plain text, and images are included as links. Since I am the only one with a JotForm account, other departments are unable to access the images.
We would like the report to be sent as a PDF attachment along with the submitted images, ensuring all recipients can view the full report without needing a JotForm login. What is the best solution to achieve this?

Hi Hillary,
Thanks for reaching out to Jotform Support. I checked your form and saw that there's no Workflow set up on it yet. Take a look at the screenshot below:
Are you perhaps referring to the Notification Emails, as shown in the screenshot below?
If yes, you can attach the submission entries to the Notification Emails as PDF. Let me show you how to do that:
1. In Form Builder, in the orange navigation bar at the top of the page, click on the Settings tab.
2. In the menu on the left side of the page, click on Emails.
3. Hover your mouse over the Notification Email element and click on the Pencil icon.
4. Click on the Advanced tab, toggle Attach PDF to the On position, and select the PDF file you created.
5. Now, scroll down, click on Save, and you're done.

Good morning!
We had previously updated the settings on this form, and the PDF and images were coming through on the notification emails just like we wanted. However, it looks like the form has reverted, now the emails are no longer including the PDF or the images.
Could you please take a look and see what might be causing the attachments to stop appearing on the notification emails?

Hi Hillary,
There are a few possible reasons why your JotForm notification emails have stopped including the PDF and image attachments:
- Occasionally, after form edits or cloning, email settings can revert to default.
- If the custom PDF you previously used was edited, renamed, or deleted, the email notification may no longer find it to attach. Go to the Jotform's PDF Editor, verify the PDF still exists, and ensure it’s selected in the email settings.
- If the total size of the attachments exceeds JotForm’s email size limit (5MB), the system will automatically skip attaching files to avoid email delivery issues. This could happen if images or PDFs are large.
I have checked your Email Notification and I can confirmed that the attach PDF has now been enabled, having said that I cloned and test your form and I was able to received the file uploaded as well as the PDF Attachment. See the screenshots below to see my results:
