Appointment: Appointment Slot Unavailable

    I have set up one appointment per day for set days each month using limits in appointment properties. This seems to have worked and submissions have been made, however there is one date which is showing as unavailable (29-11-24), despite the limit dates being correct (I have tried to change the limit dates and nothing changes). I have not received an email from anyone with a submission for this date - what could be causing this error (which reads, "Incomplete Values

    Sorry, the selected slot on Roster Date / Time is unavailable now. Go back and Fix"?

    Thanks for reaching out to us for help. We’re unable to see which form you are working on. Can you provide us with the URL of the form you’re referring to? Also, if you can take a screenshot of what’s happening, that'll help us to understand better what’s going on. Let me show you how to post a screenshot to our Support Forum:

    1. On the Support Forum page, scroll down to the Your Answer section and click on the Image icon.

    2. Drag and drop your image into the Upload box, or click on it and select your file.

    3. Then, click on the Add button in the bottom-right corner of the window.

    4. To resize it, click on your screenshot and then click on one of the boxes in the corners, and drag it inward.

    5. Once you're finished, click on the Post Answer button at the bottom right of the Your Answer section.

    Hihttps://form.jotform.com/242528608569064I have people wishing to make a submission for 29/11/24, a date which should be showing as available. I am unsure why they are unable to select it. The error message says it isn’t available any more, but I haven’t received a submission from anyone for this date. As per my initial submission and the attached file to that submission, the limits are set to allow for 29/11/24 to be selected, so I can’t see any reason why it can’t be selected. ThanksSiennaSent from my iPhoneOn 18 Nov 2024, at 9:50 PM, Jotform <noreply@jotform.com> wrote:

    Hello Sienna,

    I cloned and tested your form, but I couldn’t replicate the issue. When I reviewed your form, I saw the only available time for 29/11/24 date is 7pm, and I’ve managed to get an appointment like shown below:

    You can change the intervals, if 7pm to 8pm isn’t intentional. Check out the steps and screencast below to see how it's done:

    1. First find the Appointment field in your form builder.
    2. Then click on the gear icon near it.
    3. In the tabs on top of the settings menu, click Availability.
    4. After that you can change the intervals for Fridays as shown in the screenshot.

    You can check if the appointment is taken for that date. Here’s how to do it:


    1. First go into My Forms page.
    2. Then find your form and click on the More button.

    3. After that, click on Submissions.

    4. In here, click on the three dots near Roster Date and click Ascending to make it easier to find your submission.

    Check here for 29/11/24 dated submission.

    Hi7pm is the correct time. It is a schedule for fundraising raffles for a volunteer organisation. I have created a submission for Feb 21 (name Alex Van Den Tweel) as he is the person who has offered to do the slot on 29-11-24 (I was going to try to edit his submission for the November date, but this can’t be done either and I get the same error message saying the appointment time isn’t available anymore. I know it was available when I created the form. I checked all of the dates and even entered myself in as the first appointment to test the system. I’m just not sure what has happened to make the slot now unavailable. I am assuming if a time is booked then subsequently cancelled, it opens up again for someone else?     Based on the information you've shared, it seems like the time slot for 7 PM on 29/11/24 has been marked as unavailable, but without a corresponding submission or record of a cancellation. To help you more, can you share any recent changes made to the form, such as updates to the appointment settings, submission limits, or the availability schedule?

    Additionally, are there any custom conditions or integrations connected to the appointment field that might be influencing its behavior?

    HiI think I have worked out what was wrong myself. Under limits there is an option to limit the number of appointments per day. This was set at one. Maybe in my testing I had used 29-11-24 as a test date, so I’m assuming that if I did that one appointment was then used, despite it being cancelled.     Hi Sienna,

    Yes, by increasing the Maximum Appointments Per Time limit to 3 in the Limits section, you can allow multiple appointments at the same time. Let me show you how:

    1.  In Form Builder, click on Settings icon for the Appointment field. From the right-hand panel that opens, click on the Advanced tab. 

    2. Under Appointment Type, select Group, then, edit Maximum Attendees Per Time Slot.

    Hi Sienna,

    If the cancellation process has been carried out from platforms like Google Calendar, it does not mean it is canceled in your form. In order to cancel that reservation, you need to go to the Tables section in the Form Builder and delete the reservation data there. Once you complete the deletion, the reservation will be canceled, and other users will be able to make a reservation for that time slot. If you do not delete the reservation, no one else will be able to book that time. Let me show you how:

    1. In Form Builder, click on Form Builder at the top left side of the screen.

    2. Select Tables, then, select the reservation, and click on Delete.
