Google Sheet: Missing submissions

    We have a form integrated with Google Sheets for responses. I shared this sheet with a colleague who let me know that she is missing some expected responses from people who said they filled out the form.

    I didn't think this was possible so I compared the Jotform responses to our Google sheet. I found two missing responses that were in the Jotform submissions that were not in the Google sheet.

    And those responses were not the newest ones--the form integration is currently working correctly. It just missed two random ones in the middle?

    What could cause this and what can I do to prevent it?

    Hi Michael,

    Thanks for reaching out to Jotform. As for entries dumping randomly, this usually happens when there are integration issues. Please note that changing or editing the integrated sheet may cause the integration to break. In most cases, disconnecting and reconnecting the Google Sheets interface will fix the problem if you are missing data from it. Let me show you how to do it:

    1. In Form Builder, in the orange navigation bar at the top of the screen, click on Settings.
    2. In the Settings menu, click on the Integrations option on the left side of the screen.
    3. Select the Google Sheets integration.
    4. Then, click on Remove Integration and then Yes, Remove!

    Now, let's connect the Google Sheets Integration again:

    1. In Form Builder, circle back to Settings at the top of the page.
    2. In the Settings menu, click on the Integrations option and Google Sheets integration again.
    3. Now, select and connect your Google account.
    4. Select an option.
    5. Choose your form fields.
    6. Click on Save, and that's it, you're done.

    The integration is currently working. I'm not sure why I should remove it now. The two missing entries were from the past. One was from a few days ago and one was from 10 days before that. There were multiple successful entries since.

    If I have to constantly check and see if an entry successfully made it over or frequently delete and restart the integration, then I can't rely on the integration and have to change my organization's workflow,

    Hi Michael,

     The Google Sheets integration usually breaks if you rename or delete the column headings on the sheet, or if your token has expired. Unfortunately, tokens are handled by Google. The most common reason why your token expires is if you updated your Google password or have multiple requests to the Sheets simultaneously. The suggestion of my colleague normally fixed this kind of issue.

    I've manually pushed the two missing submissions. Can you check again?

    Thank you. Those entries are there.

    The password definitely didn't change (and I would assume that would cause the entries to just stop completely if the token expired like that).

    What do you mean by "multiple requests to the Sheets simultaneously"?

    Does this mean that if someone is using the sheet while the integration is attempting to update it that it could fail?

    Hi Michael,

    Multiple requests to access Google Sheets simultaneously means that people are requesting access to the sheet at the same time. Additionally, if someone is using the sheet while the integration is being attempted, it could fail because changes made to the sheet may affect the integration.
